Plain answers to the questions owners ask before a first call.
What it is
What is a chief of staff AI?
An AI with access to your company’s systems that coordinates the work. It prepares the morning brief, sends work to the specialist desks, and brings decisions to you. It is the one thing you talk to; the desks report to it.
What is a desk?
One specialist agent that owns one job: replying to leads, booking appointments, asking for reviews, keeping listings current. There are 30 in the catalog. A build uses the ones the audit supports. See the catalog.
Which industries do you build for?
Car dealerships, gyms and studios, home services contractors, short-term rental operators, field sales organizations, med spas and dental practices, and any local business that lives on leads, appointments and reviews. If your business has repeatable work and customers who need answers, there is a build for it.
Is this a chatbot or an AI receptionist?
No. A receptionist product answers the phone. Staffhand builds the whole back office around your systems: lead handling, follow-up, reviews, marketing, operations and reporting, under one chief of staff, with a person approving what goes out. A receptionist desk can be part of it.
Control
Will it message my customers on its own?
No. Agents write drafts and a person on your team approves them from one queue. Questions about price, trade value, credit and financing always go to a person. The AI never answers them.
How much of my day will approvals take?
The queue is designed to be cleared in minutes, not hours. Routine items are grouped so you approve a batch at once, and anything unusual is flagged at the top. As trust builds, you choose which low-risk items can go out with a lighter touch. Customer-facing messages always stay in the queue.
Who owns the accounts and data?
You do. Accounts are set up in your name, the data stays yours, and the AI providers we use are on paid business terms that do not train on your data. If you stop working with us, everything stays with you.
What does it connect to?
Whatever the audit shows you rely on: your website, CRM, phone system, review profiles, social accounts, calendar, email and booking tools. We build on what you have first and add nothing you do not need.
Getting started
What is a digital audit?
A review of your website, search presence, reviews, social and lead handling, with a score and a short list of what is costing you customers today. It is the first step of every engagement and it decides what is worth building. Request yours.
How many desks will I need?
The audit decides. A gym build runs five. A dealership build runs 22. Most businesses land between five and fifteen, and we add only what the audit supports.
How long does a build take?
The chief of staff connects first, so you see a morning brief early. Desks then go live one at a time in approval mode, usually in order of what pays back fastest. The scope sets the exact schedule and it is written into the quote.
How is pricing set?
A fixed build fee for the agreed scope, paid in stages. Where it fits, an ongoing share of revenue above a baseline set from your own history, with a monthly cap, so we are paid when you grow. AI and software costs pass through at cost with no markup. Read about pricing.
Do I need to hire anyone or learn new software?
No. The desks work inside the tools you already use. Your team keeps doing what it does, with drafts waiting instead of blank screens. Someone on your side owns the approval queue; that is the only new habit.
What should I ask any AI vendor?
Who approves what goes to customers. Who owns the accounts and data. How the vendor is paid if the work does not help. What happens to the setup if you leave. We are happy to answer all four in writing.
