A small gym runs on a few people doing a lot of jobs. The same coach who runs the 5 AM session answers the intake form, posts to Instagram, replies to reviews and chases the member who stopped showing up. Most of that work is routine. Almost none of it gets done on time.
A Staffhand gym build puts that routine work on five specialist desks and gives the owner one place to approve it. This page covers what the build does, who approves what, and what the gym keeps. See what we build for how the layers fit together in any business.
It starts with a scored digital audit
Every build starts with a digital audit. We render your website, Google listing, review sites, social accounts and local map results in a real browser, crawl every page of the site, and run speed tests. We view pages only. We submit no forms, leave no reviews and sign in to nothing.
Each area gets a score, and the scores decide what gets built. Gyms tend to have real strengths, often a strong Google reputation, next to gaps nobody has checked: no analytics on the site, an intake form that can lose leads silently, listings pointing at an old domain, hours that differ by platform, and no online booking. Each desk below answers that kind of finding.
The five desks
Coaching support desk
This desk supports the coaches. It keeps client profiles current, summarizes nutrition and weight logs, drafts the weekly check-in for the coach to approve in one tap, and adds notes to progress photos, only with the client’s written consent and visible only to the coach. It does not coach. It gives the coach a clean summary so the human conversation starts from the facts.
Lead capture and class booking desk
This desk fixes the front door. A tracked intake form that confirms every send and keeps the program the visitor chose. An instant reply to every lead. Call and text click tracking. Online booking for consultations, intro sessions and classes. Keyword replies to Instagram and Facebook direct messages. The lead then goes to the coach with the full intake summary.
Follow-up and reviews desk
Email and text nurture for new leads, with opt-in and an unsubscribe link on every message. A report email and a short follow-up sequence for anyone who uses a calculator or download on the site. Win-back messages to lapsed members. Review requests to members at natural moments, Google first, then other platforms. Reply drafts in the owner’s voice.
Website and local search desk
Tracking installed: analytics, Search Console and an ad pixel. Every listing pointed at the right website, with one set of hours everywhere. Weekly Google Business Profile posts and the right categories. City and service words in page titles, canonical tags, schema fixes, a pricing page and a coaches page. Weekly health checks. Every site change is drafted for the owner’s approval.
Social media desk
Posts and captions drafted on a schedule: client transformations with written consent, class clips, coach tips. A live Instagram feed on the website. Blog drafts with a coach byline. Reposts of existing video to TikTok, YouTube Shorts and Facebook Reels. Comment and direct-message sorting. Nothing posts without approval.
Two personal assistants
A gym build also includes a personal assistant for the owner and one for the head coach. Each is separate from the five desks and sits on top of them.
The owner’s assistant prepares a daily brief with the calendar, priorities, gym numbers and items waiting for approval. It answers questions about any part of the gym from the gym AI’s data, keeps calendar, tasks and reminders in one place, sorts the inbox and drafts replies, and handles everyday admin outside the gym. Nothing is auto-sent.
The head coach’s assistant runs their day the same way, plus booking confirmations, reminders, aftercare follow-ups, rebooking prompts and social drafts for their own clients. See how it works for the personal layer.

What the owner sees every day
Four things, and nothing else to log into.
- A morning brief: what came in overnight, what needs a decision, and what each desk plans to do next.
- One approval queue: check-ins, campaigns, posts, messages and site changes wait in one spot. The owner approves, edits or holds each one.
- A live action log: every action every desk takes, time-stamped and visible at any time.
- A weekly report: leads, intro sessions, new clients, reviews, posts, search visibility and site speed, tracked against the gym’s own starting point.
Approval mode
Every desk starts in approval mode and stays there for anything customer-facing. One-to-one messages are approved before they send. Automated templates are approved once before they run. Nothing posts to social media or changes on the website without the owner’s approval. The assistants draft email and never auto-send.
Staffhand reviews every template, post and site change before it reaches the owner’s queue, and our people monitor what the desks do. Nothing runs unattended.
Rules built for a gym
- Client photos, transformations and stories are used only with written consent and stored privately.
- AI-drafted marketing makes no health or medical claims. Check-in and aftercare messages stay non-diagnostic.
- Text and email go only to people who opted in. Text messaging runs under the gym’s own registration, which we file in week one.
- Review requests go to every opted-in member, not only the happy ones, and nothing is offered in exchange.
- The gym owns every account, all client data and everything we build, from day one. If the gym ever leaves, we do a full handoff.
Pricing in brief
A gym build is priced as a fixed build fee, paid in stages across the build, plus, where it fits, an ongoing share of revenue above the gym’s own baseline with a monthly cap. The baseline comes from the gym’s actual revenue over recent months, the last year and longer, so seasonality and existing growth are already counted. AI and software costs pass through at cost. Exact figures come with your scope after the audit. The structure is on the pricing page.
Questions gym owners ask
Will members know they are talking to an AI?
Templates and one-to-one messages are written in the owner’s voice and approved by the owner before they send. The desks draft. People decide what goes out.
How much of my time does this take?
A short pass through the approval queue each day, each template approved once, and sign-off on new website copy. The heaviest weeks are at the start, when accounts are connected and the first templates are approved.
What if I already use a coaching app?
The coaching desk works alongside it. Your coaching app subscription stays yours and is not part of the build.
What happens to my accounts if I stop?
They were always yours. Everything is set up in the gym’s own accounts, and we hand it all over on exit.
More answers are on the questions page.
Start with a digital audit
The audit comes first and decides what your gym needs. It covers your website, search presence, reviews, social accounts and lead handling, each scored, and the scores shape your build. Start with a digital audit.
